Someone who is the true Director of First Impressions, greeting people with a smile and making sure they feel comfortable? If this sounds like you - and you have strong verbal and written communication skills this could be the job for you! 

We are currently working with our Dallas client partner, a respected and established wealth management firm, that is in need of a Director of First Impressions (Receptionist).  This person will assist the Executive Manager and/or Office Manager in the efficient daily running of the office. In the absence of an Office Manager, the Office Coordinator will assume those duties as the Executive Manager may assign.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned. 

  • Coordinates the use of common meeting spaces and ensures the requested meeting support (technology, specific meeting room, etc.) have been met to the extent practical.
  • Ensure the front reception area is in good state of repair, clean and conveys the appropriate ambiance.
  • Greet and seat visitors, see to their immediate needs and notify the appropriate party of their arrival.
  • Answer incoming calls to the general company phone lines and route accordingly.
  • Coordinate the pick-up and drop-off of mail (US Postal, FedEx, UPS, etc), processes all mail in accordance with Company procedures.
  • Process all incoming/outgoing correspondence in accordance with Company program guidelines.
  • Process all incoming checks in accordance with compliance procedures and notifies the branch coordinator.
  • Manages general office supplies,and reorders as necessary.
  • Other projects and duties as may be assigned by the Executive Manager or Office manager.

QUALIFICATIONS REQUIRED: 

  • High School diploma or equivalent required; some college preferred. Relevant experience may be substituted for education preferences.
  • Strong interpersonal skills
  • Must be self-directed with demonstrated experience establishing and maintaining rapport with clients.
  • Proficiency with Microsoft Office Suite products and demonstrated PC experience
