Established, respected and growing residential real estate firm needs an experienced Office Manager to join their team.  Join an elite group of highly experienced agents that take a team approach to listing and selling homes.  This position is the spoke in the wheel that enables the process of listings, marketing, closings to run smoothly and successfully. 

General Responsibilities:  

  • Serve as the listing & transaction coordinator for the firm
  • Act as a liaison between the client & agent overseeing most aspects of the transaction
  • Take day to day office tasks away from agents, organize workflow, and reduce inefficiencies

Listing Manager Duties: 

  • Oversee aspects of seller transactions from initial contact to executed purchase agreement
  • Consult & coordinate with sellers on initial property walk-through, measuring, staging, property photos, signage, and lockbox/access requirements
  • Write property descriptions for property brochure and MLS
  • Create property brochures and deliver to property
  • Input all listing information & upload documents into transaction management systems, MLS, social media, and other websites - update as needed
  • Ensure (or proactively obtain) all necessary documents required for listing (with signatures).
  • Log listing & marketing activities in transaction management software
  • Follow-up with showings to obtain feedback
  • Coordinate (& sometimes participate in) listing/marketing events, such as: public open houses, broker open houses, MLS Tours, and other listing/agent events

Transaction Coordinator Duties:

  • Oversee aspects of buyer & seller transactions from executed purchase agreement to closing
  • Coordinate title company, mortgage loan, and appraisal processes
  • Input all contract information/dates and upload documents into transaction management system(s), MLS -- update as needed
  • Regularly update & maintain communication with clients, agents, escrow officer, lender, etc.
  • Coordinate and meet inspections & additional contractors as necessary
  • Ensure (or proactively obtain) all necessary documents required for contract (with signatures).
  • Schedule, coordinate (& sometimes attend) closing

Skills Required: 

  • Excellent working knowledge of real estate transactions & the responsibilities of each participant
  • Technologically savvy and able to learn new programs quickly
  • Proficiency in various “computer/internet” skills, such as: email, calendar scheduling, PDF manipulation, photo editing & manipulation, social media posting, etc. Experience preferred (not required) with any of the following: Zip Forms, DocuSign, AFrame, NTREIS (MLS), Adobe Suite (Acrobat & Photoshop)
  • Excellent customer service & interpersonal skills; can build relationships with a variety of personalities – especially high-end clientele
  • Have excellent attention to detail and high-level of accuracy with data-entry
  • Flexible in daily routine; ability to prioritize and manage shifting responsibilities
  • Concerned with doing things the right way the first time
  • Able to stay calm and patient when faced with emotional situations
  • Excellent verbal and written communication skills
  • Active real estate license preferred, but not required
